Getting started

Set up your organisation

Setting up takes five steps: your organisation's details, then the people you support and the people you roster — added by hand or imported from CSV.

Import participants and workers

Participants, workers and the price book all import from CSV. Or add the first few by hand and start with one house — most providers do.

Invite your team

The free tier covers up to 5 staff with every module included. Participant and family portal accounts never count toward those seats.

Run alongside your current system

Start with one house or one team, run it next to your spreadsheet for a fortnight, then move the rest across. Nothing forces a hard cut-over.

Rostering

Build a week

Drag and drop across week and month views, or apply a template. All 14 conflict checks run before a shift can be published.

Roster a SIL ratio shift

Set the ratio — say 1:3 — and the cost splits across the residents' plans as you move the shift, to the cent, with the rounding recorded.

Read a conflict warning

Double bookings, approved leave, availability, insufficient breaks and unfunded supports raise warnings you can act on. A lapsed worker screening blocks the shift outright.

Fill an open shift

The Growth plan adds an open shift marketplace and auto-roster for filling gaps. Every conflict check still runs before a shift saves.

Timesheets and clock-in

Clock in from the worker app

One tap, with GPS. The clock event is recorded against the rostered shift, so the timesheet is the clock record — not a retyped copy.

Review an amber clock-in

An out-of-range reading is flagged amber with its accuracy radius for a manager to review. It is never auto-rejected and never used to withhold pay.

Approve timesheets for payroll

Approved hours come out with SCHADS penalty windows already segmented — the input your payroll system needs. Nexrosta does not calculate PAYG, super or leave.

Check your hours as a worker

The app shows this week's hours, shift tasks and case notes by voice. No admin screens.

Claims and invoicing

Keep the price book current

The price book is date-effective: enter a price change ahead of time and each claim line uses the price in force on the day of service.

Run a claim's pre-flight checks

Every line is checked against the participant's plan and the price book before a file is written. Blocking issues are listed line by line, not returned as one rejection.

Write an NDIA bulk payment request

Approved hours become invoices and an NDIA bulk payment request file. The same file reproduces byte-for-byte if an auditor asks later.

Send invoices to your accounting software

Export to Xero, MYOB or QuickBooks on every tier; the Growth plan adds live Xero and MYOB sync. Invoices already claimed are flagged before you claim twice.

Participants and portal

Add a participant and their plan

Record the participant's supports so rostering can flag an unfunded support before the shift saves, not after the claim bounces.

Give a family portal access

Portal accounts for participants and their families are always free and never count toward your seats, on any tier.

Record a case note

Workers write case notes from the app during or after the shift — by voice if that is easier — and each note sits behind the shift it belongs to.

Keep medication records

Medication is administered against an eMAR, and every administration lands in the append-only audit log.

You pay from the sixth seat onward. Growth is $12 per user per month; Provider is $18 and adds SSO, custom roles, an API, the audit workspace and priority support.

Two-factor authentication comes with the Growth plan. Provider adds SSO for organisations that manage identity centrally.

Export your data

Every register exports to CSV at any time, without asking us. Claims export in the NDIA bulk payment request format; invoices export to Xero, MYOB and QuickBooks.
