Care team meetings, on the record.
Schedule multidisciplinary meetings alongside the billable appointments they coordinate. Agenda and outcomes stored on the participant record, actions assigned as tasks, and meeting time kept distinct from direct support time.
Scheduling
Booked beside the billable work, not around it.
A meeting scheduled in a separate calendar collides with the caseload sooner or later. In Nexrosta, meetings sit on the same calendar as appointments and group sessions, so the collision is caught before it is booked.
- Meetings appear on the same week and month views as appointments and group sessions
- The conflict checks run before a meeting saves — double bookings and approved leave included
- A moved or cancelled meeting updates in the app for everyone invited
The calendar itself — availability, travel time, week and month views — has its own page.
What counts as a care team meeting here
Any non-billable gathering the team needs on the calendar: a multidisciplinary case conference before a plan review, a handover between a therapist and a support coordinator, a family meeting. If it takes clinicians’ time and produces decisions about a participant, it belongs on the record the same way an appointment does.
The record
The meeting lives on the participant record.
Decisions made about a participant belong with the participant — not scattered across notebooks, inboxes and whoever happened to take minutes.
Agenda before, outcomes after
The agenda is set on the meeting, and the outcome notes are written against it. Both are stored on the participant’s record — not in an email thread that leaves with its author.
Who was in the room
Attendance is part of the meeting record. When a decision is questioned later, the record shows who made it, when, and who was there to hear it.
Findable at review time
A plan review reaches back over months of decisions. Because every meeting lives on the participant record, the history is a scroll, not an archaeology project.
Actions
Decisions leave the room as tasks.
The usual fate of a meeting action is a dot point in a document nobody reopens. In Nexrosta, an action agreed in the meeting is assigned as a task on the spot — and from there it behaves like every other task in the system.
- Each action gets an owner and a due date, assigned in the meeting
- Actions land in the assignee’s task list in the app — not in minutes nobody reopens
- Ticks are timestamped and written to the append-only audit log, so follow-through is visible
How tasks are ticked off, recur and are evidenced is covered in allied task management.
At the next meeting
The previous meeting’s actions open with their current state — done and timestamped, or still open with an owner. The first agenda item writes itself, and nobody spends ten minutes reconstructing what was agreed last time.
Time, categorised
Meeting time is not direct support time.
Whether a care team meeting can be claimed depends on the participant’s plan and the NDIS Pricing Arrangements — that judgement is yours. Nexrosta’s job is to keep the categories clean so the judgement, and the record behind it, hold up.
- Meeting time is recorded in its own category, never blended into direct support hours
- Reports and exports show direct support time and meeting time side by side
- The record behind each category is the meeting or appointment it came from
